1. Collaboration and professionalism
All representatives act exclusively in the interest of Norrhavet and its clients. Personal projects or side ventures must never be discussed in client meetings. Internal processes, pricing or methodology are not shared with third parties without written approval. Client communication must be solutions-focused, respectful and highlight opportunities to deepen the engagement within Norrhavet's offering.
2. Integrity and ethics
All conflicts of interest — financial or operational — must be disclosed before a project begins. Zero tolerance for bribery, corruption or improper incentives. All work must comply with applicable law, including GDPR, labour law and intellectual property rules. Discrimination based on gender, ethnicity, religion, age, disability or sexual orientation is prohibited. Suspected breaches must be reported to Norrhavet management immediately.
3. Confidentiality
All information about Norrhavet and its clients — project details, budgets, strategies, unpublished data, methodologies — is confidential. A non-disclosure agreement is signed before work begins and remains in force after the engagement ends. Access is limited to what the role requires. Only Norrhavet-approved channels and storage may be used. Breaches lead to immediate termination, financial penalties and legal action.
4. Intellectual property
All materials, concepts, designs and deliverables created for Norrhavet or its clients are owned exclusively by Norrhavet or the client. Featuring work in a personal portfolio, on a personal site or in pitch material requires written pre-approval — reviewed case by case. Selling, licensing, reusing or modifying the material outside the engagement is prohibited. On termination, all materials must be returned or securely destroyed.
5. Quality standards
Every deliverable passes a structured validation process: initial review against the brief, final quality check by Norrhavet's QA team, and ongoing post-delivery review. Work is evaluated against four metrics — innovation, precision, functionality and impact. Version control and clear context are required for every submission. Repeated quality failures lead to reassignment and ultimately contract termination.
6. Data security and breach protocol
All communication and file transfer must be encrypted. Devices and networks used on Norrhavet projects must have active firewalls, antivirus and strong passwords. GDPR and applicable data protection law are always followed. In case of a suspected or confirmed breach: notify Norrhavet within 24 hours with a preliminary report, take immediate containment action, and deliver a full incident report within 7 days. Remediation costs, fines and damages are borne by the party at fault.
7. Communication guidelines
All project communication must take place on Norrhavet-approved platforms (e.g. Slack) so that a clear record exists. External communication (phone, SMS) must be summarised in the main platform within 24 hours. Client contact requires pre-approval from a project lead. Communication must be clear, concise and professional. Internal conflicts must never be shared with clients — breaching this leads to immediate termination.
8. Sustainability and responsibility
We minimise waste and energy use, prioritise recyclable and sustainably sourced materials, and offset unavoidable environmental impact where possible. We only work with suppliers that comply with international labour law, pay fair wages and provide safe working conditions. Sustainability efforts are reported continuously and reviewed annually. Repeated failures lead to termination of the supplier agreement.
9. Feedback and continuous improvement
Client feedback is actively sought throughout every project and integrated through iterative cycles. All feedback is documented in approved platforms with clear version history. Employees and suppliers are expected to stay current in their field, share knowledge internally and propose innovative solutions. Repeated failure to integrate feedback leads to reassignment or termination.
10. Supplier-specific guidelines
Suppliers are expected to align with Norrhavet's standards for creativity, quality and ethics regardless of local practice. Norrhavet projects are prioritised, deadlines are kept, and proactive communication is required at any risk of delay. All deliverables pass Norrhavet's validation process before reaching the client. Onboarding, ongoing evaluations and regular check-ins are mandatory. Repeated failures lead to warnings, penalties and ultimately termination.
11. Enforcement and compliance
Compliance checks are conducted every six months and a comprehensive review is held annually. Severe breaches — intentional misuse of client information, unethical behaviour, gross negligence — lead to immediate termination, financial penalties proportional to the damage, and where required, legal action. Self-reporting of mistakes and conflicts is mandatory. Whistleblowers are protected from retaliation and their identity is kept confidential.
12. Conflict resolution
Conflicts between team members, consultants and suppliers are handled internally — they must never be escalated to clients. The process has four steps: direct communication between the parties, internal escalation to management, neutral mediation, and a final binding resolution that is documented and signed. Involving a client in an internal dispute leads to immediate termination, financial penalties and possible legal action.
13. Communication archiving
All project communication — messages, emails, meeting notes, decisions and approvals — is documented in Norrhavet-approved systems using a consistent structure. Access is role-based, the archive is encrypted and auditable. On project completion, a complete project archive is compiled and stored in line with data protection rules. Failure to document leads to review of the agreement.
14. Prohibited use of work
Work created for Norrhavet or its clients may not be shown in personal portfolios, personal websites, presentations, pitch material or on social media without written pre-approval. Publicly discussing projects, methodology or outcomes is prohibited. All credit belongs to Norrhavet or the respective client. Norrhavet actively monitors unauthorised use; violations lead to immediate termination, penalties and legal action.
15. Creative and innovative standards
Every deliverable must show originality, function and vision — no templates, no order-taking. Employees and suppliers are expected to stay at the forefront of their field and contribute knowledge to the collective. Quality and professional execution are prerequisites, not add-ons. Performance is evaluated continuously; a lack of creative rigour leads to review of the role or contract.
